Airtable is a relational database with apps on top. For teams leaving a spreadsheet behind it is the most familiar option in this guide, because the data still lives in a grid1.

Best for: Teams whose spreadsheet has outgrown itself and who want a shared database with interfaces and automations on top.

Not the right fit for: Companies trying to cut per-seat software costs, or tools that will hold hundreds of thousands of records.

What Airtable does

Omni, Airtable's conversational builder, creates tables, interfaces and automations from a plain-language description, and the apps it builds can be edited afterwards at no additional cost. Field Agents act as researchers, analysts and writers on records, for example enriching leads as deals arrive or sorting feedback by sentiment1.

Each plan sets limits per base and per workspace: records, automation runs, attachment storage, revision history and monthly AI credits per user2. On Team and Business, only users with edit rights are billed, and read-only collaborators, form submissions and share links are free3.

Published evidence

  • Code and Theory (vendor-published). Airtable’s AI page cites a customer story in which the agency saved more than 10,000 hours.1

The figure is Airtable's own summary of a customer story, not an independent measurement.

Strengths and limits

Strengths

  • The closest step up from a spreadsheet: data stays in a grid that people already understand.
  • Building and iterating with Omni carries no additional cost.
  • Read-only collaborators are not billed on Team and Business plans.

Limits

  • Billed per editor, so a tool that many people update carries a seat cost for each of them.
  • Records per base are capped: 1,000 on Free, 50,000 on Team and 125,000 on Business.
  • The pricing and plan pages we read do not list single sign-on or audit logs by plan.

Choose another option if: The aim is to reduce the number of paid seats, or the data already lives in a production database.

Pricing

Published: Free; Team $20 and Business $45 per user a month billed annually; Enterprise Scale custom. Monthly AI credits per paid user: 15,000 on Team and 20,000 on Business.

Questions to ask Airtable

  • How many of our users need edit rights rather than read-only access?
  • How close will our largest base come to the record limit in a year?
  • Which plan includes single sign-on and an audit log, and at what price?
  • How do AI credits get consumed by Field Agents at our volume?
